Job Description

Responsibilities (key tasks and requirements of the role)

Recruitment

 

  • Assisting with recruitment, including conducting phone screens, booking interviews, advising unsuccessful candidates, conducting reference checks
  • Maintaining up to date job descriptions
  • Maintaining role specific interview guides

Onboarding

 

  • Managing the administration of the onboarding program
  • Preparing and distributing employment packs and follow up on signed paperwork
  • Coordinating the probation process and register

Communication/correspondence

 

  • Drafting and publishing new starter announcements
  • Coordinate and distribute the birthday and service anniversary paperwork and vouchers nation-wide
  • Distribute service anniversary correspondence
  • Assisting with developing and maintaining content on HR section of the website of InFocus (intranet) and any HR related information
  • Assisting with the coordination of thirdly InfoTrack Company Update, social events, HR training programs and other internal meetings
  • Management of HR collateral inventories

Admin/Reporting

 

  • Maintaining the InfoTrack ID register
  • Maintaining the Spot Award register
  • Assisting with drafting the thirdly People Pulse employee engagement survey reports
  • Maintain InfoTrack org chart
  • Assist with maintaining accurate learning and development records – ensure training and development inventory is up to date, book training and development, manage paperwork follow up
  • Assisting with iNominate reporting, communication, vouchers, visual displays and adding new starters
  • Maintain up to date templates for HR collateral

General/Projects

 

  • Assist with the company CSR policy
  • Conducting monthly expense reconciliation for the Head of Human Resources and invoice coding
  • Ensure accurate maintenance of employee records and filing of such
  • Conduct research on HR projects when required
  • Assist with annual performance review procedures

  • Relevant tertiary qualification (HR, Psychology etc)
  • Proven strong time management & organisational skills
  • Excellent phone manner and communication skills
  • Team player
  • Ability to work autonomously
  • Experience with PC and Microsoft Office
  • Superior attention to detail and follow-up
  • Proven stakeholder management
  • Takes initiative and is solution-focused
  • Proven experience with can be trusted with confidentiality
  • Excellent people skills to interact with teams, colleagues, across functions and external suppliers.
